How to Add Power and Clarity to Memos, Letters and Reports

Program Objective

The objectives of this course are to help participants acquire skills and confidence in writing memos, letters and reports.

Course Content

Through lectures, examples and practice, participants will be lead through the writing process:

Getting Started
Making the Message Accessible
Shaping Paragraphs and Sentences
Editing for Language and Style
Writing for Special Purposes

Stage One

Participants will learn to gain control of the writing process by: understanding their audience, organizing their thoughts, finding an efficient and personal way to write, and overcoming difficulties writers encounter.

Stage Two

Participants will be shown how to make their message easier to understand and read by adding subject lines, paying attention to beginnings and conclusions, using headings, and applying basic design features.

Stage Three

Participants will go through the steps needed to shape effective sentences and paragraphs by: examining the importance and use of topic sentences, appreciating the importance of paragraph development and length, producing sentences with varying rhythm, and placing sentences and paragraphs so the reading flows naturally.

Stage Four

Participants will understand the importance of editing by: reviewing various editing checklists, avoiding certain types of language, using concrete and familiar words, tightening writing and examining how messages can be strengthened or softened.

Stage Five

Participants will review various special writing projects, including Executive Summaries, Instructions, Letters of Complaint and Recommendations by: examining their similarities and difference, reviewing accepted norms and practicing with various levels of persuasion.

Each Stage will include:

• Extensive use of examples,
• Group/individual exercises,
• Work evaluation,
• Reference materials

Participants will be asked to complete writing assignments during the course. In addition, participants will have the option to benefit further from the workshop by completing voluntary writing assignments before and after the workshop.
